Every student’s record, kept in one place

Enrol, transfer and withdraw students, link them to their guardians, and keep what you need in fields of your own. Everything else in Schoolak reads from this one record.

Illustration with sample data

Students

  • Enrol, transfer and withdraw students; their history stays on the record
  • Custom fields in seven types, defined by the school
  • Guardians linked with custody, pickup, emergency-contact and primary flags

Import and export

  • Import a roster from CSV or Excel: match the columns, check every row, then commit
  • Roll an import back if it went wrong
  • Export the students you are allowed to see

The school’s structure

  • Academic years and terms, grades, sections and subjects
  • Rooms, grading scales and teacher assignments

Staff

  • Leave requests; approved leave lists the lessons it affects

Welcome new families, and new staff

Families apply without an account, and an accepted application becomes a student, a guardian and an invitation. Teachers apply for your openings the same way.

Limits Reviewing applications, hiring and your school’s profile are on the website only; the phone app does not have them. Candidates can confirm an interview, answer an offer or withdraw, but cannot reply to messages.

Admissions

  • An application with documents and consent; no account needed
  • A reference number and a private tracking link, sent by email
  • Review — under review, accepted or rejected — with notes for the staff; the family is emailed when the application arrives and when it is decided
  • Families can withdraw their application
  • Onboarding creates the student, the guardian, their link and an invitation

Your public profile

  • Publish or unpublish your school’s profile in the directory
  • Found by name, country, city, type, curriculum and open admissions

Hiring

  • Draft a job with screening questions, then publish it
  • Candidates apply with a CV, without an account
  • Shortlist, interviews, offers and hiring; the new member is invited as staff
  • Notes and a full history on every application

Classrooms

Take the register, set homework, see the week

Teachers take the register and set homework; students hand work in on the website or in the phone app, and the mark and feedback reach the student and their family.

Illustration with sample data

Limits Homework sends no alerts: students and families see it in Schoolak. Timetables are built by the school, not generated; the advanced builder is not part of the ready-made School Manager role.

Attendance

  • A daily register, or one per period or per course
  • Present, late or absent, within an edit window the school sets
  • Absent or late: each linked guardian gets one alert in Schoolak
  • Families send an excuse; staff review it
  • Close and reopen a register; a list of students at risk; reports and CSV export

Homework and materials

  • Three kinds of homework: a written answer, a file, or an online question set that marks itself
  • Late hand-ins are flagged; files are scanned for malware before anyone opens them
  • The mark and feedback reach the student, and the guardian sees them on the child’s homework
  • Lesson materials as files and links
  • If the school wants it, a teacher’s draft waits for a reviewer’s approval

Timetables

  • Bell periods and a weekly schedule; teachers, students and families each see their own
  • An advanced builder: versions, conflict checks, publishing and substitutions

Hall

Exams that keep their own time

Build a paper from five question types; students sit it on the website or in the phone app. Every answer is saved as they go, and Schoolak keeps the time, not their device.

Limits Exams are not part of the ready-made Teacher and School Manager roles: the school gives the permission to a person, or to its own copy of a role.

Illustration with sample data

Papers

  • Single choice, multiple choice, true or false, short answer and essay
  • A time limit, more than one attempt, questions in shuffled order
  • Import questions; print a paper
  • Printing the answer key is a permission of its own

Marking

  • What can be marked automatically is; teachers mark the rest
  • Results are released when the marking is done, and reach the gradebook
  • Students are told about their exams in Schoolak

Staff room

Marks become results, results become report cards

Homework and exam marks feed the gradebook. Term results are calculated, submitted, approved and published; only then do students and guardians see them, with a report card to print.

Limits Publishing results sends no alert: families see them the next time they open Schoolak.

Illustration with sample data

Results

  • A gradebook fed by exams, and by the homework a teacher adds to it
  • Term results: calculate, submit, approve, publish
  • Students and guardians see published results; report cards print from the website, and students can also open theirs in the phone app
  • A grade sheet for the class, exported to Excel in English, Arabic or French, on the website

Approvals

  • The school decides, per teacher and per kind of content, what needs approval
  • One Approvals inbox for reviewers; nobody approves their own work

Comments and notes

  • Private comments from a teacher to one student
  • Staff-only notes with categories, sensitivity and history, and a report you can print

Courtyard

Reach the right people, and know who has read it

Write to the whole school, one class or a group of staff, and see how many students, guardians and staff will receive it before you send. Guardians write to their children’s teachers and the school’s inbox, not to everyone.

Limits Schoolak sends no notifications by email, text message or browser push, and no alert for a new message. Email is used only for invitations, password resets, applications and contact requests.

Illustration with sample data

Announcements and events

  • To the whole school, one class, or a staff group: all teachers, chosen teachers, a subject’s teachers or a department
  • A live count of who will receive it, before you send
  • Normal, A+ or emergency priority; A+ notices are listed first
  • Teachers write drafts, and a reviewer publishes them from the review queue
  • Acknowledgements, read counts, scheduling and expiry
  • Events with replies from families, and reminders you send when you choose

Messages

  • Conversations with attachments, editing, deleting, moderation and search
  • A shared school inbox for families
  • Actionable messages: one-tap replies, and recall

Notifications

  • An inbox in Schoolak, on the website and in the phone app, with an unread count
  • Phone notifications through the Schoolak phone app, where the school turns them on

Home

Each family sees its own children, and no one else’s

A guardian signs in once for every child linked to them. For young children, the school can let a guardian act in the child’s account, and Schoolak records who really did it.

Illustration with sample data

Limits Assisted mode stays off until the school turns it on, and it is set up on the website.

What a guardian sees

  • Only the children linked to them, with a switch between them
  • Attendance, with excuses they can send
  • Homework with its mark and feedback; published results and report cards
  • Notices, events and conversations with the school
  • The bus’s approximate position while their own child’s trip is under way
  • Photo and video consents to answer, and their children’s invoices and balances

Assisted mode

  • Off by default; allowed by the platform, the school’s policy and each guardian’s link
  • Every assisted action records the guardian who really acted

Bus bay

The school bus, on a map during your child’s trip

Drivers run each trip from the Schoolak phone app, stop by stop. Staff see every bus live; a guardian sees an approximate position, only during their own child’s trip.

Limits There is no screen yet for setting up routes, stops, buses and the students on each route.

Clinic

Health and wellbeing, behind stronger locks

The clinic records visits and keeps health documents, behind permissions of their own. Recognitions and incidents are recorded with their evidence, and support plans get follow-ups.

Limits Health records are not part of the ready-made School Manager and Teacher roles; the school gives that access to the people who need it.

Illustration with sample data

Health

  • Clinic visits, each with its reason, and health documents
  • Health records open only to the staff the school allows

Behaviour and wellbeing

  • Recognitions and incidents with categories, severity and evidence
  • Support plans with due dates and follow-ups
  • A record of what was said to the family
  • Restricted wellbeing notes, granted only on purpose

Library

Consents, files, reports and one search box

Ask families for consent before their children appear in photos and videos, keep files with the records they belong to, and find what you may open from one search box.

Illustration with sample data

Consents

  • Consent for each use of a student’s photos and videos — the website, social media, the yearbook and more — with the evidence kept

  • Files attached to the records they belong to
  • Every upload scanned for malware before anyone can open it

Reports and search

  • School reports, and attendance exported to CSV

Who may do what, how they sign in, and in which language

Every person has a role, ready-made or your own, and one person can be given an extra permission. Everyone signs in with an 11-digit Login ID, email optional, in Arabic, English or French.

Limits Ready-made roles cannot be edited. Exams, finance, health records and the timetable builder are not part of the ready-made Teacher and School Manager roles: the school gives them to a person, or to its own copy of a role.

Illustration with sample data

  • Five ready-made roles — School Manager, Teacher, Guardian, Student and Bus Driver — plus the School Owner
  • Roles of your own, from scratch, or copied from another on the website
  • An extra permission for one person, without changing their role

Signing in

  • An 11-digit Login ID for everyone; email is optional
  • Invitations, activation and hand-over codes; student accounts in bulk on the website
  • Reset codes from staff, on the website, for people without email
  • Lockout after repeated failed sign-ins, and session rules the school sets

Languages

  • Arabic, written right to left, English and French — on the website and in the phone app
  • A class can have a default language; a person’s own choice comes first
  • A guided tour for people new to Schoolak

School fees — and Schoolak’s own bill

Invoice fees, record payments and refunds, and follow the money on a finance dashboard. Schoolak bills the school once a year for each student, on the plan it chose.

Limits Schoolak takes no payments online: fees are recorded when they are paid.
